This policy explains what personal information Verohs Printers collects, how we use it, and your rights regarding that information. Last updated: August 2026.

1. Who We Are

Verohs Printers (Pty) Ltd ("Verohs Printers", "we", "us", or "our") is a commercial printing company registered in South Africa. Our registered office is at 160 Marshall Street, Johannesburg CBD, 2001.

We operate this website at verohs.co.za and use digital tools — including the WhatsApp Business Platform — to communicate with customers. We are the responsible party (operator) for the personal information we process, as defined under the Protection of Personal Information Act, 2013 (POPIA).

2. Information We Collect

We collect personal information only when you interact with us directly. This includes:

  • Contact details: name, phone number, email address, WhatsApp number, company name, and delivery address.
  • Order information: products ordered, quantities, artwork files, specifications, and pricing.
  • Communication history: messages sent to or received from us via WhatsApp, email, or our contact form.
  • Payment records: invoices, proof of payment, and transaction references (we do not store card details).
  • Website usage data: IP address, browser type, pages visited, and session duration, collected via server logs and analytics.

We do not collect sensitive personal information (as defined in POPIA Section 1) unless strictly required and with your explicit consent.

3. Our Use of the WhatsApp Business Platform

Verohs Printers uses the WhatsApp Business Platform (provided by Meta Platforms Ireland Limited) to communicate with our own customers. Specifically, we use it to:

  • Send quotes and proformas for print orders you have requested.
  • Deliver tax invoices and payment confirmations.
  • Provide order status updates and delivery notifications.
  • Respond to customer support enquiries.

We use the WhatsApp Business Platform solely for our own business communications. We are not a WhatsApp Business Solution Provider (BSP) and we do not offer WhatsApp messaging services to third parties. Our Tech Provider status with Meta is maintained exclusively to enable coexistence between our WhatsApp Business number and the WhatsApp Business API for internal operational purposes.

By engaging with us via WhatsApp, you acknowledge that messages are transmitted through Meta's infrastructure and are subject to WhatsApp's Privacy Policy in addition to this policy. We do not share the content of your WhatsApp messages with any third party other than Meta (as the platform provider).

4. How We Use Your Information

We process your personal information for the following purposes:

Fulfil Your Order

Produce, quality-check, and deliver the printed products you ordered.

Communicate With You

Send quotes, invoices, order updates and respond to your questions via WhatsApp, email, or phone.

Legal & Financial Records

Maintain invoices and transaction records as required by South African tax law (SARS).

Improve Our Service

Understand how our website and communications are used so we can improve your experience.

Marketing (With Consent)

Send promotions or new product updates only if you have opted in. You may opt out at any time.

Fraud Prevention

Detect and prevent fraudulent orders or misuse of our services.

5. Sharing Your Information

We do not sell, rent, or trade your personal information. We may share it only with:

  • Courier and logistics partners — to deliver your order (name and delivery address only).
  • Payment processors — to verify or reconcile payments.
  • Meta Platforms Ireland Limited — as the operator of the WhatsApp Business Platform we use for messaging.
  • IT service providers — who maintain our systems under confidentiality agreements.
  • Legal or regulatory authorities — where we are required to do so by law.

All third parties we engage are required to handle your information securely and in accordance with applicable law.

6. Data Retention

We retain your personal information for as long as necessary to provide our services and meet legal obligations. In general:

  • Order records and invoices: 5 years (as required by SARS / Companies Act).
  • Customer contact details: retained while you are an active customer or as long as needed to provide services requested.
  • Marketing consent records: until you withdraw consent.
  • WhatsApp message logs: retained in our point-of-sale system for up to 12 months, then deleted.

7. Your Rights Under POPIA

Under the Protection of Personal Information Act (POPIA), you have the right to:

  • Access the personal information we hold about you.
  • Correct any inaccurate or incomplete information.
  • Delete your personal information, subject to our legal retention obligations.
  • Object to the processing of your information, including for direct marketing.
  • Withdraw consent at any time where processing is based on your consent.
  • Complain to the Information Regulator of South Africa if you believe your rights have been violated.

8. Security

We take reasonable technical and organisational measures to protect your personal information against loss, misuse, and unauthorised access. These include restricted access controls, encrypted data transmission (HTTPS), and regular security reviews. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

9. Cookies

Our website uses cookies to remember your preferences and to understand how visitors use the site. We use session cookies (which expire when you close your browser) and analytical cookies via Google Analytics. You can disable cookies in your browser settings, though this may affect the functionality of the site.

10. Third-Party Links

11. Children's Privacy
